MONTHLY MEETING MINUTES

 

Present at meeting: Steve Lowe, Rick Walker, John Springer, John Owens, Ben Hooks, Dana Adams, and Lynn Easley.

Present Minutes from last meeting

 

The minutes were presented by Lynn Easley.

Financial Report

 

The financial report was presented by John Springer.

Receipts:

 

Receipts for the year through Dec 8, 2016 were $1,925.00 Which consists of current year dues from nineteen members.

Disbursements:

 

 

 

Disbursements for the year through Dec 8, 2016 were $1,662.22 for operations and $3375.18 for capital items, resulting in total disbursements of $5,037.40 Disbursements are as follows.

1. $3,035.77 Pontoon boat.

2. $506.72 Annual meeting at Hollytree C.C.

3. $385.00 Storage locker at Lake Palestine Marina.

4. $339.41 BBQ Grill and propane tank.

5. $235.98 Trophies and Commodore Plaque.

6. $100.35 Cheeseburger in Paradise Dock Party.

7. $92.00 Toilet Rental.

9. $61.26 Business Cards.

Surplus:

For operations, receipts exceeded disbursements resulting in an operating surplus of $262.78. Including expenditures for capital items, disbursements exceeded receipts by $3,112.40.

General Comments:

The cash balance as of Dec 8, 2016 is $17,258.95. We have 19 dues paying members in 2016.

Motion to accept treasury report by Ben Hooks, seconded by Rick Walker.

2017 Projected Budget:

 

John Springer presented a preliminary 2017 budget based on the 2016 expenses, with minor increases in the social events spending and inclusion of slip an estimate of slip rental for the barge. The amount for the slip rental is currently unknown, Steve Lowe will contact Lake Palestine Marina to get the actual slip rental cost. The budget will be updated with the value at the next meeting.

 

 

Old Business

Barge update and next barge work day:

 

The next barge work day is scheduled for December 9th, was canceled due to the cold temperatures. Only a few things are remaining before the barge can be launched.

Christmas Boat Parade:

 

Rick Walker provided updates on the Christmas boat parade. At least four boats from Emerald Bay have committed, and at least 2 more are interested. There is also interest from other groups on the lake planning activity on the lake this season to promote the event.

Several of the clubs member boats are having engine issues, but hopefully they will be resolved soon.

Being the first time this event has been held recently, the directors decided on an informal meeting before the start of the parade among participants to be held at Lake Palestine Marina. In future years, the event is likely to grow in size requiring more formal registration and possible prizes.

Potential new members:

 

Several people have contacted Rick Walker on the Christmas boat parade expressing interest in joining the club. The parade will likely be a good promotion for the club.

 

 

 

Director Openings for 2017:

 

Directors John Springer, and Ben Hooks positions are up for election for 2017. Both directors have expressed interest in running for reelection. Assuming their reelection, the directors have proposed the following office positions for 2017. Ben Hooks as Commodore, John Owens as Vice Commodore, John Springer as Treasurer, and Lynn Easley as Secretary.

The directors also discussed methods of bringing in newer members as directors.

 

Annual Meeting Date and Menu:

 

The annual meeting date was confirmed for January 21, 2017, and the location will be at Emerald Bay. The menu selected will be the Mexican buffet at $12-$14 a plate plus gratuities and taxes.

 

New Business

Parking for barge trailer:

 

Once the barge is launched, storage space for the trailer will be needed. Steve Lowe suggested a place at Cumberland Ridge. It would be close at hand and the cost for a year would only be $80.00. Rick Walker proposed using the location at Cumberland Ridge, and Ben Hooks seconded the motion.

 

Non Members at Events and Charges:

 

The directors decided for major events that the club pays for, like the Annual Meeting or the Christmas party, guests would only be allowed if the invitee or if the person inviting them pays for their meals. The smaller events like dock parties would be less restrictive due to the lower cost of providing food.

 

2017 Regatta:

 

Ben Hooks had originally proposed the weekend of April 22/23 but is considering the first weekend in May, as the later date will be better. Ben Hooks will coordinate with the Racing coordinator Jim Stevenson about the possible change of date to see if that would work out better for everyone involved.

Next Directors Meeting:

 

The date for the next meeting will be Tuesday January 10th, 2017 at Ben Hooks office.
